Our international client were hosting an event where teams from all over the world had the opportunity to come to London and compete in their Hackathon to gain a major investment in their company. For this we were tasked with sourcing the venue together with event design to bring the clients vision to life all whilst making sure all the guests were going to be comfortable and focused throughout the three-day competition.
The client wanted to keep their universal brand throughout all aspects of the event, this consisted of modern, white and streamlined furniture. We also ensured the colours and themes were all matching and consistent too.
The Bike Shed in Shoreditch was the ideal venue for this, we were able to transform the two blank canvas arches into a hacking area and also a chill out zone for competitors and staff. The industrial style interior meant that we could bring in simple and contemporary style furniture and still having a space that looked full of character and kept its ‘Shoreditch atmosphere’.
With the event taking place over three days, we were able to personalize the arches and brand it with the client’s specifically designed event logo. Vinyling the windows, using the logo to frame the screens, and customizing the cushions were just a few ways we added detail that made the event exclusive to them.
On the third day of the event spectators were invited to view the team’s pitches and solutions. For this to work the second arch required an overnight turnaround of furniture, transforming the room from the chillout area to a theatre style set up. Preparing the schedule for this beforehand meant that this was a slick and easy process.
How We Added Value
The Uptown Events team made sure to involve the client’s thoughts and ideas into every aspect of the event during the planning stage. With the client being based in oversees, we ensured that when sending over all ideas and concepts this was clearly displayed and the visuals were bought to life with the regularly updated room plans and images.
We also continued this throughout the event days by managing logistics of suppliers, making sure all staff and start-ups were happy at all times and ensuring the client could enjoy her event stress-free.
The Hackathon proved to be a huge success. The three days all ran smoothly and according to plan.
